The membership-sales workspace Capstone Hospitality’s team uses to sell new memberships for the private golf, country and yacht clubs we represent.
Who it’s for
Capstone Console is a private business tool. It is used by Capstone Hospitality’s membership-sales representatives and office staff, and by the clubs we sell memberships for. Capstone issues every account — there is no public sign-up.
What it does
- Respond to membership inquiries from club websites, forms and ads
- Track every prospect from first contact to a signed membership
- Schedule and run club tours
- Prepare membership quotes and applications
- Report sales results to the clubs we represent
Connecting your mailbox, and why the Console asks for Google data
Sales representatives can connect their own work mailbox and calendar through Google. Connecting is optional. When you connect, Google asks you to allow the permissions below; each one exists for a single feature you can see in the Console.
Email prospects from your own address
Google permission:
gmail.sendWhen you write an email to a prospect in the Console and press Send, it goes out from your own mailbox, with a small tracking image and tracked links so you can see when it’s opened, and replies come back to your inbox. When someone at Capstone enrolls one of your prospects in an email sequence, its prepared emails go out from your mailbox as they fall due, each with an unsubscribe link, and stop when the prospect replies or unsubscribes. Other automated emails, such as tour reminders, are switched off.
Log replies on the prospect’s record
Google permission:
gmail.readonlyWhen a message you send or receive involves someone who is already a prospect in the Console for a club you work with, its subject line and a short excerpt (at most 2,000 characters) are saved to that prospect’s timeline, so the whole sales team works from the same history. Mail with anyone else is ignored, and its content is never stored. If you hold a club’s membership-inquiry inbox, a new inquiry from someone who isn’t in the Console yet becomes a new prospect for that club.
Offer tour times and book tours
Google permission:
calendarThe Console reads your free/busy time so a prospect booking a club tour is offered only times you’re free, and it adds the booked tour to your calendar. It can also show your own calendar beside your Console appointments — only you see it, and your calendar events are never stored on our servers.
Confirm which mailbox you connected
Google permission:
openiduserinfo.emailuserinfo.profileYour Google account’s name and email address confirm that the mailbox you connected is the one you meant to connect, and label the connection in your settings.
What we never do with it. Google user data is not sold and not used for advertising. Email subject lines, message text and your calendar data are never sent to AI models, and Google user data is never used to train AI or machine-learning models.
You stay in control. Disconnect in the Console under Settings → My Mailbox, or ask us to do it for you — access is revoked and syncing stops. What was already logged on a prospect’s record stays as the club’s sales record until the email text is deleted: 24 months after the email, or within 45 days of your asking us. You can also remove access from your Google Account at myaccount.google.com/permissions.
Capstone Console’s use and transfer of information received from Google APIs to any other app will adhere to Google API Services User Data Policy, including the Limited Use requirements.
